They do not need to determine eligibility or approve the request themselves, but they should know how to recognize a potential request, respond appropriately, document the conversation, and promptly involve HR.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A simple, consistent response can help protect the employee, the manager, and the organization: \u201cThank you for telling me. Let me connect you with the right person so we can work through this together.\u201d<\/p>\n\n\n\n<div class=\"wp-block-group\"><div class=\"wp-block-group__inner-container is-layout-constrained wp-block-group-is-layout-constrained\">\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n<\/div><\/div>\n\n\n\n<h2 id=\"h-the-first-conversation-matters\" class=\"wp-block-heading\">The First Conversation Matters<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Consider the managers in your organization. Do they know what to do when an employee pulls them aside, shares that they are dealing with a health-related issue, and asks for greater flexibility?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you are not sure, that gap deserves attention.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Many managers have never received clear guidance about their role when a potential accommodation request comes their way. Without training, they often rely on instinct. That may mean dismissing the conversation, questioning whether the employee\u2019s condition is legitimate, or making a promise they do not have the authority to keep.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Each of these responses can create problems. By the time HR learns what happened, the employee may already feel ignored, embarrassed, or treated unfairly, and a manageable situation may have become a significant employee-relations or compliance concern.<\/p>\n\n\n<div class=\"wp-block-image is-style-rounded\">\n<figure class=\"alignright size-large is-resized\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"1024\" src=\"https:\/\/pbspay.com\/news\/wp-content\/uploads\/2026\/09\/ADA-1024x1024.png\" alt=\"\" class=\"wp-image-924\" style=\"width:289px;height:auto\" srcset=\"https:\/\/pbspay.com\/news\/wp-content\/uploads\/2026\/09\/ADA-1024x1024.png 1024w, https:\/\/pbspay.com\/news\/wp-content\/uploads\/2026\/09\/ADA-300x300.png 300w, https:\/\/pbspay.com\/news\/wp-content\/uploads\/2026\/09\/ADA-250x250.png 250w, https:\/\/pbspay.com\/news\/wp-content\/uploads\/2026\/09\/ADA-768x768.png 768w, https:\/\/pbspay.com\/news\/wp-content\/uploads\/2026\/09\/ADA.png 1080w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n<\/div>\n\n\n<h2 id=\"h-employees-do-not-have-to-use-magic-words\" class=\"wp-block-heading\">Employees Do Not Have to Use \u201cMagic Words\u201d<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">An employee does not necessarily have to mention the Americans with Disabilities Act, use the word \u201caccommodation,\u201d or submit a formal written request before the employer may need to respond.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Potential accommodation needs may surface through comments or situations such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>An employee mentioning a medical or mental health condition that is affecting their work<\/li>\n\n\n\n<li>A request to work remotely or adjust a schedule because of a health-related limitation<\/li>\n\n\n\n<li>A request for different equipment, duties, or workplace arrangements<\/li>\n\n\n\n<li>A pattern of absences that may be connected to a medical condition<\/li>\n\n\n\n<li>A statement that the employee is struggling to perform part of the job because of a physical or mental limitation<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Managers do not need to decide whether these situations qualify under the ADA. They do, however, need to recognize that the conversation may require HR\u2019s involvement.<\/p>\n\n\n\n<h2 id=\"h-what-managers-should-and-should-not-do\" class=\"wp-block-heading\">What Managers Should and Should Not Do<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The appropriate response to a potential accommodation request is usually not an immediate \u201cyes\u201d or \u201cno.\u201d Managers should acknowledge the employee\u2019s concern, avoid making assumptions, and connect the employee with the designated HR representative.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Managers should be trained to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Listen without interrupting or expressing judgment<\/li>\n\n\n\n<li>Thank the employee for sharing the information<\/li>\n\n\n\n<li>Protect the employee\u2019s privacy<\/li>\n\n\n\n<li>Avoid requesting unnecessary medical details<\/li>\n\n\n\n<li>Refrain from promising or denying a specific accommodation<\/li>\n\n\n\n<li>Promptly notify the appropriate HR contact<\/li>\n\n\n\n<li>Document the conversation according to company procedures<\/li>\n\n\n\n<li>Avoid retaliation or any conduct that could appear retaliatory<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Tone matters, too. Frustration, skepticism, jokes, or a flat denial can damage trust before the formal process even begins. What feels like an informal conversation to a manager may be a significant and vulnerable moment for the employee.<\/p>\n\n\n\n<h2 id=\"h-managers-do-not-need-to-become-ada-experts\" class=\"wp-block-heading\">Managers Do Not Need to Become ADA Experts<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The good news is that the solution does not have to be complicated.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Managers do not need to evaluate medical documentation, determine whether an employee meets the ADA\u2019s definition of disability, or decide whether a requested accommodation would create an undue hardship.
